2. What this policy covers
This policy applies to personal data collected through the Ánimo website, its embedded forms, introductory-conversation booking pathway and direct correspondence with Ánimo.
A conversation opened through Ánimo in ChatGPT takes place on OpenAI’s platform and is governed by OpenAI’s own privacy terms and Data Controls. The Ánimo website does not receive the content of that conversation. Further information appears on the Ánimo and ChatGPT page.
3. Information we may collect
Depending on how you interact with Ánimo, we may process:
- your name and email address;
- the content of a general enquiry;
- the information you provide when registering interest in Ánimo Circles or the Secular Rule of Life;
- booking information for an introductory conversation, such as your name, contact details, chosen time and any message you provide;
- correspondence and practical information connected with a conversation or future working relationship;
- limited technical and security information needed to operate the website, embedded forms and anti-spam protection.
Please do not include medical records, detailed health information or other sensitive personal data in a general enquiry or registration-of-interest form.
4. Why we use your information and our legal basis
General enquiries
We use the information you submit to read and respond to your enquiry. The legal basis is taking steps at your request before a possible working relationship and, where relevant, our legitimate interest in answering genuine correspondence.
Introductory-conversation bookings
We use booking information to arrange and conduct the conversation, communicate about it and take any next steps you request. The legal basis is taking steps at your request before a possible service relationship.
Ánimo Circles and Secular Rule of Life interest lists
We use the information you submit to record your interest and send relevant updates about the specific activity for which you registered. The legal basis is your consent. Registering for one list does not register you for another. You may withdraw consent at any time.
Direct correspondence and guided work
Where you correspond with Ánimo or later agree to guided work, we use relevant information to communicate, make arrangements and provide the agreed work. The legal basis is taking steps at your request or performing an agreement with you. Certain records may also be retained where required by law.
Website and form security
Limited technical data may be processed to keep the website and forms secure, prevent abuse and diagnose faults. The legal basis is our legitimate interest in maintaining a safe and functional service.
Legal obligations
Information may be processed or retained where this is necessary to comply with a legal obligation or to establish, exercise or defend legal claims.
We do not use your information for automated decision-making or behavioural profiling.
5. How long we keep information
- General enquiries are normally retained for no longer than 12 months after the final response, unless a working relationship begins or a longer period is required for a legal reason.
- Ánimo Circles and Secular Rule of Life interest-list information is retained until you withdraw consent, the relevant list is closed or the purpose has otherwise ended.
- Introductory-conversation booking information is normally retained for no longer than 12 months after the conversation, unless a working relationship begins or retention is reasonably required for administration or legal claims.
- Records connected with an agreed service or legal obligation are retained for the periods required under applicable law.
- Technical and security information is retained only for as long as reasonably necessary for security, troubleshooting and service integrity.
When information is no longer required, it is deleted or anonymised where reasonably possible.
6. Who may process your information
Ánimo uses carefully selected service providers where necessary to operate the website and its communication pathways. These may include:
- Brevo, for embedded forms, interest lists and form-related notifications;
- Microsoft, for Bookings and Teams introductory conversations;
- Proton, for email;
- the website hosting and infrastructure providers;
- Cloudflare, including security and Turnstile anti-spam services.
These providers process information under their own legal and contractual safeguards and only to the extent needed to provide the relevant service. Personal data may also be disclosed where required by law or to establish, exercise or defend legal claims.
The general-enquiry form creates a contact record within Brevo for the operational purpose of receiving and responding to the enquiry. That record is kept separate from marketing lists and is not used for promotional campaigns unless separate consent is obtained.
7. International transfers
Some service providers may process information outside the European Economic Area. Where this occurs, the provider must rely on a lawful transfer mechanism, such as an adequacy decision, approved standard contractual clauses or another safeguard recognised under data-protection law.
8. Your rights
Subject to the conditions in applicable law, you may ask to:
- access your personal data;
- correct inaccurate or incomplete data;
- erase data that is no longer required;
- restrict how data is used;
- object to processing based on legitimate interests;
- receive data you provided in a portable format where the right applies;
- withdraw consent at any time, without affecting processing already carried out lawfully.

9. Security
Reasonable technical and organisational measures are used to protect personal information. No internet service can guarantee absolute security, but access and retention are limited according to the purpose for which the information was provided.
10. Adults
Ánimo’s guided work, forms and reflective pathways are intended for adults. We do not knowingly invite children to submit personal data through the website.
11. Changes to this policy
This policy may be updated when Ánimo’s services, providers or legal obligations change. The current version and revision date will remain available on this page.
